AG’s Provider’s Proposal Form SJ 2025/2026

Dear AG Provider,

A new school year is about to start, and we are very excited to have you among our esteemed AG providers.

DEO AGs “Arbeitsgemeinschaften” (After School Activities) are a vital part of an organized program that students (youth) can participate in outside of the traditional school day to unleash their potential by learning a new skill or getting knowledge about a new field, among others.

By offering AGs to DEO students, the school is opening a channel outside the academia to help boost the self-esteem of the students and help them foster their self-worth and development. Moreover, it helps them develop their personal and interpersonal social skills and promotes respect for diversity and teamwork.

The program was a great success and kicked off in school year 2024/2025 with more than 80 AGs offered by a total of approximately 55 highly qualified internal and external providers, facilitators, and teachers to more than 500 students in diversified areas like sports, art, music, cooking, entrepreneurship, technology, languages, and many others.

We are so excited to tap into our second year with even bigger exciting plans and enhanced infrastructure as well as a bigger team.

It is great to see that many of the AG providers were interested in providing and running AGs for school year 2025/2026 at the DEO.

Having said that, it is our pleasure to have you among the pool of DEO AG providers (entities and individuals).

Hence, and as per our earlier communication with many of you, we ask you to kindly fill in the following/attached form for your AG offering. If you intend to offer more than one AG, you need to fill in the form for each AG separately. By filling in the form(s), you are confirming back your full commitment, availability, and full detailed offering by the latest

    4. AG Language

    The AG can be given in German, English or Arabic.

    5. AG Outline and Curriculum

    Each AG provider/organizer will need to state the objective of the AG as well as a clear outline of the curriculum/skills they will be providing throughout the AG to DEO students. In addition, what learning methodology will be used to maximize the benefit.

    6. AG Time plan in School Year 25/26 (Day & Time)

    AGs start at the end of September 2025 and will end by end of June, 2026. Each AG should run for either a semester or a whole school year (depending on the nature and requirements of each AG individually), which is anticipated to be approximately 14 times per 1st semester and approximately 19 times per 2nd semester or approximately 33 times per school year. AGs can only be held on Monday, Tuesday, Wednesday (for grades from 1st to 10th) and on Thursday (for all grades from 1st to 12th) in the “2nd Round” (second round after school day closure), which starts at 1:45pm and ends at 3:15pm. It is important to note that students must catch the school bus thereafter, so AGs cannot exceed 3:15pm. Hence, the program design needs to take this into account.

    Each AG can take up to 20 students per AG. Each AG organizer may further amend the minimum and maximum number of students, depending on the nature of their activity and expected benefit.

    8. Classes Eligible For Enrollment

    The AG provider/organizer shall indicate what classes /grades the students in their AG belong to. It should be indicated by class, and not by age. In some cases, the same AG may be offered multiple days but for different class/grade ranges. Additionally, it is possible to divide the same AG into different groups on the same day – either by age group or by level of experience (e.g. beginners and advanced participants), depending on the structure and needs of the AG. If the AG is divided into separate groups on the same day, an additional instructor must be provided to ensure each group is properly supervised and maximize the learning.     9. AG Location, Venue, Facilities

    The AG provider/organizer needs to indicate whether they need to hold the AG outdoors or indoors or a mix of both. Classrooms and general outdoors facilities are ample and available (e.g. a swimming pool, a football field, a track, kitchen, basketball area, ping pong area, theatre hall, traditional classrooms, music room, sports closed hall, beach volleyball area, among others). The AG provider/organizer needs to indicate what type of equipment or tools are needed on site (whether outdoors or indoors) or the activity and its nature (e.g. data show, laptop, certain software, boxing gloves, sports clothes, instruments, kitchenware, etc.). Please note that the AG provider along with the AG team will assess together what equipment and tools are available at school as support to the AG and what needs to be brought and arranged by the AG provider. It is important to note that outdoor sports facilities and other locations mentioned above may be limited due to availability, so we will discuss internally once the pool of AG offerings are finalized and in place.

    10. AGs Hands-On-Activities & Fees

    It is strongly advised to complement the AG with a “hands-on” activity to showcase the AG effort and work. The “showcase” can be in the form of a field trip, a competition, a performance, exhibition, debate, project, presentation, etc. (depending on nature of activity). Costs for such “showcase” activity should be included and accounted for in the total cost estimate of the AG. If the cost will be separated from the AG fees, please make sure to mention it in this form (See pricing section). In the case of outdoors “showcase” activities, the students should leave school with the AG provider/organizer by bus (organized by the AG provider) and the parents should pick up kids at the end of the day. During such field trips at least two parents of the AG students should be present for supervision purposes.Please indicate the name you wish us to announce in our AG catalogue for students.

    11. Pictures and Videos

        12. IDs and Profile Pictures

        The DEO will be preparing access cards for school entry during the coming school year for each AG provider and hence we kindly ask you to upload a scanned copy of your ID as well as the profile picture of all staff, facilitators, team members or anyone that might need to enter the school as an AG provider.

          13. Payment details

          14. AG Presentation Days

          The AG-AG Committee is planning to hold an “All AG Presentation Day” on September 2nd and 3rd, 2025 from 7 am to 2 pm (school time) and all AG providers will need to be available to present their AG to students and answer their inquiries. A detailed info letter will be shared as we get closer to the day (most likely last week of August).On those presentation days, we recommend that each AG provider prepares exciting material or showcase to capitalize on the interest that the students might show for the specific AG.

          15. Contract

          Before the start of the AG, a formal agreement between the provider and the school will be signed, outlining all responsibilities and expectations. This agreement will cover important aspects such as group arrangements, scheduling, payment details, attendance requirements, certification (if applicable), and any other relevant information
